Why quotes take too long today

An incoming request classically triggers a mini-crisis: sales digs out current price lists, asks production about capacity, looks up raw-material surcharges, builds an Excel calculation, rewrites it as a PDF in an email. One to two hours — per request.

The consequence: small requests don\'t get answered because the effort is not worth it. Medium requests get rushed with risk in the math. Only large requests get full attention.

With PAXLY the calculation is half-automatic — price lists and raw-material surcharges are stored, requests come in structured, the quote goes out in the buyer standard format. Requests of all sizes become economically answerable, win rate goes up.

From inbound to submitted in four steps

1

Open the request

Incoming RFQ is structured — dimensions, material, volumes, dates immediately readable. No mail-attachment hunt.

2

Calculate

Stored price lists + raw-material surcharges fill the line items automatically. You set margins and lead times, done.

3

Send

One click — your quote goes out in the buyer standard format. Comparability is guaranteed; the buyer does not need to re-enter anything.

4

Track

Live status updates: Received → Viewed → Negotiation → Award/Decline. With reason on declines if the buyer shares it.

What the quote tool changes for sales

Six things — from price-list management to live tracking.

Structured submission

Unified buyer format. No PDFs the buyer has to retype — your quotes are immediately comparable and rank better.

Price list management

Store product prices with volume tiers and customer-specific terms. Calculation becomes click-work, not Excel research.

Optional raw-material coupling

Hook prices to raw-material indices — your calculation reflects current material prices automatically, no daily list maintenance.

Deadline management

Deadlines visible with automatic reminders. No missed tenders.

Live status

See whether your quote was viewed, is in negotiation, or was declined — and with reason on declines, when shared. Learn for the next opportunity.

Quote history

All quotes archived, searchable, exportable. Knowledge from previous calculations stays in the team, not in one person's Outlook.

Frequently asked questions about the quote tool

How fast can I respond with the quote tool?

After one-time profile and price-list setup (typically 1-2 days), a quote on an incoming request takes 5-15 minutes — depending on complexity. Comparable quote creation in Excel + email classically takes one to two hours.

Can I import my existing price lists?

Yes — Excel import for product master data, price tiers and customer-specific terms. ERP integration possible too (REST or CSV sync). You keep maintaining the lists wherever they live today, or move them entirely into PAXLY.

How do I price packaging quotes fairly?

Three components: (1) material cost at current raw-material price, (2) processing cost (machine hours, labor, energy) based on unit size and complexity, (3) margin depending on strategic value of the customer. PAXLY stores points 1 and 2 as default calculation; you decide point 3 per quote.

How is the quote tool different from quoting via email?

Via email: every supplier replies in their own format (PDF, Word, Excel, email body), the buyer retypes, compares in Excel, gives feedback manually. With PAXLY: you submit structured data, the buyer sees you side by side with everyone else, status updates flow automatically. Result: higher hit rate because your quote is comparable instead of lost in Excel chaos.

Can I edit submitted quotes afterwards?

Until the RFQ deadline, yes — changes are versioned, the buyer sees both states. After deadline the quote is final. If it goes to award negotiation, that runs in a separate negotiation flow where both sides can exchange interim versions.

What ERP integration is available?

PAXLY offers REST API and CSV sync for product master data and prices. On award, the order record can be created in your ERP automatically — typical integrations: SAP, Microsoft Dynamics, Sage, industry-specific ERPs. Setup effort depends on integration depth.
